Best RMM for MSPs under 500 endpoints (2026)
A practitioner shortlist of RMM tools for MSPs and IT shops under 500 endpoints. Stated rubric, TBD prices, no fake scores. Confirm packaging on the vendor site.
This is a category money page, not a catalog. It is for MSPs and internal IT shops that will still be under 500 managed endpoints for the next year — the book where a wrong RMM tax shows up in every agreement you sell.
It is also a draft. There is no numeric ranking, no trophy icon, and no invented list price. If you need a quote, use the vendor’s site or a partner desk.
Partner links are placeholders that currently resolve to vendor marketing sites. No tracking IDs are in this repository.
Who this page is for
- Solo to ~10 technicians.
- Mix of Windows workstations, a smaller server estate, and maybe a bit of Mac — not a 15,000-endpoint fleet.
- You either sell RMM as a line item or bury it in a managed stack and still need the margin to work.
- You are willing to rip and replace if the current pane of glass is a ticket factory.
If you are already on ConnectWise, Kaseya, or N-able with years of scripting and contracts, this roundup is still useful as a sanity check — but switching cost belongs in the spreadsheet, not a feature grid.
Shortlist (qualitative, not a score)
Until lab review, we will not name a winner. We will say how shops in this size band usually get to a shortlist:
| If this is your constraint | Start the conversation with | Why this is not a trophy |
|---|---|---|
| You want seat math that does not grow 1:1 with every new laptop | Atera | Historically per-technician packaging. Current SKUs and module add-ons can erase the advantage — confirm. |
| Endpoint ops and patch discipline are the pain; PSA can stay separate (or not) | NinjaOne | Long-running RMM reputation. PSA bundling has changed over time; do not rely on a 2023 blog post. |
| You want tickets + agents in one login for a small team | Syncro or SuperOps | Both market all-in-one. Depth of billing, scripting, and reporting is a demo question. |
| Datto backup (or the wider Kaseya catalog) is already the standard | Datto RMM | Switching cost and restore muscle memory often beat a prettier RMM. |
That table is a triage heuristic, not a test result.
How we will score (rubric)
When this page leaves draft, each product gets 1–5 on the same five axes. No score is published until a human stamps the page. The axes:
- Technician economics — per-tech vs per-endpoint vs hybrid; what happens at 25, 100, and 500 endpoints with a realistic tech count.
- RMM coverage — agent, remote take-over, monitoring, patch, scripting/automation. Gaps must be named.
- PSA overlap — do you still buy Autotask/CW/Halo, or is the bundled ticketing enough for this size band?
- Time-to-first-value — can a 1–10 tech shop be useful in 30 days without a professional-services engagement.
- QBR-ready reporting — patch compliance, backup success, and ticket history a vCIO can put on a slide.
We are not scoring “would this have stopped ransomware,” “AI magic,” or “number of integrations on a marketing page.”
Comparison matrix (placeholders)
Prices are TBD. Feature notes are public positioning, not a 2026 lab pass. If a cell looks specific, still confirm it — vendors regroup SKUs without asking publishers to update HTML.
| Criteria | Atera | NinjaOne | Syncro | SuperOps | Datto RMM |
|---|---|---|---|---|---|
| List price (per endpoint or per tech) Do not treat TBD as a quote. Confirm on the vendor site before you model margin. | TBD — confirm on vendor site | TBD — confirm on vendor site | TBD — confirm on vendor site | TBD — confirm on vendor site | TBD — confirm on vendor site |

| PSA in the same product? | Positioned as RMM + PSA-style modules in one. Confirm modules you actually need. | RMM first; PSA availability has changed over time. Confirm current product, not old blogs. | Positioned as PSA + RMM together. Confirm ticketing/billing depth for your book. | Positioned as all-in-one. Confirm PSA depth vs a dedicated PSA. | RMM sits in a broader Datto/Kaseya catalog. PSA is usually a separate decision. |
| Fit note (under 500 endpoints) | Often shortlisted when per-tech math beats per-endpoint as the book grows. Run the numbers. | Often shortlisted when patch/endpoint ops is the pain and PSA can stay separate — or not. Verify. | Often shortlisted by solo and small teams that want one login for tickets + agents. | Often shortlisted as a newer all-in-one. Ask for a live tenant, not a slide deck. | Often stays in shops already on Datto backup. Switching cost matters more than a feature grid. |
Pricing changes. Every TBD cell is intentional until a human verifies the vendor’s current public or partner quote. Do not bill a client from this table.

Endpoint recipes (25 / 100 / 500)
Use the same recipe on every RMM you demo. Fill the dollars from a dated vendor quote, not from this page.
25 endpoints
Typical of a starter book or a single large client plus leftovers. Watch for minimums and “free extra modules” that become line items at renewal. Per-endpoint tools can look fine here; per-tech tools look expensive if you have two techs and 25 machines.
100 endpoints
The messy middle: enough devices that agent health and patch rings matter, not enough to justify a dedicated platform team. This is where PSA overlap starts to hurt — duplicate ticketing, or an all-in-one that cannot invoice the way you promised.
500 endpoints
Still “small” by enterprise RMM standards; large enough that per-endpoint tax is obvious on a P&L. Model technician count, overtime coverage, and add-on backup/EDR that the RMM will try to sell you. If the 500-endpoint number only works with a discount a sales engineer whispered, it is not a number.
A live calculator will live at /resources/stack-cost/. It will not invent a monthly total in v0.1.
Vendor notes (not reviews)
These are orientation notes so a first-time buyer does not treat five websites as five identical products. They are not claims that we ran each product in lab this week.
Atera
Publicly known for per-technician packaging and an all-in-one pitch (RMM plus helpdesk/PSA-style modules). The homework: map which modules you actually need, what is bundled vs add-on, and whether the technician seat still looks sane if you hire. Confirm current list and MSP partner pricing on Atera’s site.
NinjaOne
Publicly known as an endpoint-management / RMM platform with a strong patch story in the market. PSA used to be “bring your own”; that line has moved. The homework: decide if you want Ninja as the pane of glass with a separate PSA, or as a broader suite — then get it in writing.
Syncro
Publicly known as a combined PSA + RMM aimed at smaller MSPs. Scripting community and all-in-one login are the usual reasons it appears on shortlists. The homework: billing/contracts depth, and whether the RMM side matches the agents you actually deploy (including Mac/servers if you have them).
SuperOps
Newer all-in-one PSA + RMM vendor with a heavy product-marketing cadence. Being newer is not a disqualification; it is a reason to demand a live tenant, export paths, and a written price book. Do not take a launch deck as a matrix row.
Datto RMM
Lives in the Datto / Kaseya universe. Shops already standardizing on Datto backup often keep RMM in-family because restore runbooks and sales motion already exist. The homework is switching cost and platform overlap, not a screenshot contest.
Caveats you should treat as policy
- Pricing changes. Anything you see in a table can be stale the week after it is typed. Verify with the vendor.
- No fake scores. If you find a 9.4/10 on this domain, it is a bug — we do not ship those without the rubric above.
- No fake testimonials. We will not invent a peer MSP quote.
- Security outcomes. This is an RMM page. It does not claim an RMM is an EDR, and it does not claim patching “prevents breaches.”
- Trademarks. Product names identify the products. No affiliation is implied unless a partner program is disclosed.
Methodology
- Define the size band (under 500 endpoints) and the five-axis rubric.
- Pull public positioning from vendor sites. Do not scrape logos or gated price lists into the repo.
- Leave price cells as TBD until a human records a dated quote.
- Refuse a “winner” sentence until scores exist.
- Route commercial outbound clicks through
/go/[slug]/. Placeholder destinations are marketing URLs only. - Update
updatedin frontmatter when the matrix changes. Timezone for ops is America/Chicago.

FAQ
What is the best RMM for an MSP under 500 endpoints in 2026?
There is no scored winner on this draft. Shortlist by economics and PSA overlap: per-technician suites (historically Atera), endpoint-centric RMM (historically NinjaOne), combined PSA+RMM for small teams (historically Syncro or SuperOps), or staying on Datto if backup already lives there. Confirm current packaging and list price on the vendor site.
Should I trust the prices in the comparison table?
No. Every price cell is TBD on purpose. Vendor SKUs, MSP discounts, and annual vs monthly multipliers change. Run a current quote before you model client margin.
Do I still need a separate PSA?
Sometimes. All-in-one products market ticketing and billing next to the agent. Dedicated PSAs still win when you need deep contracts, accounting, or a workflow you already trained the team on. Treat “PSA included” as a demo question, not a brochure fact.
Per-technician or per-endpoint — which is cheaper at 500 endpoints?
It depends on technician count, minimums, and add-ons (backup, patch, PSA modules). Per-tech can look cheap as endpoints grow and expensive if you staff up. We will not publish a fake crossover point. Spreadsheet both using vendor quotes.
Are these affiliate links?
Yes, when programs are approved. Today /go/{slug}/ routes are placeholders to vendor marketing sites. We may earn a commission if you buy through live partner links, at no extra cost to you. Rankings are not sold.
